Policy for the Use of Parish Facilities

Christmas and New Year Mass Schedule

Scheduling

  1. Parish Groups are encouraged to make an annual schedule of facility use time that can be put on the parish schedule.  The same is true for non parish groups such as other non- profits etc.
  2. Any group (parish or non parish) must call to schedule as soon as possible.  The latest any individual, group- parish or non-parish, can schedule to use any of the grounds and facilities, is 7 days prior to the event.  Effective immediately, last minute requests will not be accepted if past the 7 day deadline.
  3. All use of the facilities, whether parish related or not, will be published in the weekly schedule of the parish bulletin.
  4. When scheduling to use parish facilities the purpose for the use (meeting, class, rehearsal, party etc.) must be given.  In addition, specific areas to be use are to be included in the scheduling. (parish hall, kitchen, church proper, classroom,  parish office meeting rooms etc.)  A responsible adult agent scheduling the facility must be identified. (for example, for the parish youth group, the agent is Bonnie Cler)
  5. All scheduling must be done with Bill Goehring, Business Manager .  In his absence the only other persons authorized are Fr. Fred and Bonnie Cler.
  6. No individual, group or organization that is not scheduled to use the facility may ask another individual, organization to change or move  their meeting or if they share the meeting space without the permission of Bill Goehring.   (for example:   the parish youth group has scheduled to use the parish hall to  decorating for a youth event -  the creative circle group may not ask them to move or share the space unless it has been approved by the business manager.)
  7. Use of the facilities without the permission of the authorized persons is prohibited.  Any individual, group or organization that uses the facility without permission will lose the privilege to use the facilities.

Guidelines for Use

  1. Anyone using any of the parish facilities is responsible to maintain order and leave the facility as it was found.
  2. Use of the facilities in the evening, must end at 10 PM, unless otherwise arranged with the Business Manager.
  3. The responsible adult agent is responsible to secure the facility while using and before leaving.
  4. Items brought in for use are to be removed when the meeting event concludes.  (ie. decorations, plates, food,  napkins, equipment…)
  5. If tables, chairs or equipment  are moved for the event, please be certain they are put back where they were found.
  6. If food is served in the parish hall, the floors must be swept and spot mopped, and all trash containers emptied.
  7. If the kitchen is used, the responsible agent must contact the Business Manager for an orientation.
  8. Any food must be removed.  Please do not assume some else will eat it.   Bean’s CafĂ© and Brother Francis Shelter are happy to take leftovers.   Nothing is to be stored in the freezer without the permission of the Business Manager.
  9. Volume of music in the parish hall must be played at a reasonable volume.
  10. Per the Safe Environment  Policy of the US Catholic Bishop:
    • All youth under the age of 18 must be properly supervised by a responsible adult.
    • Adults( over 18 years of age)  working with or supervising  any youth (individual parish or non parish groups or organizations) under 18 must be screened with an official  background check and receive safe environment training.  Any costs incurred for this is the responsibility of the group using the facility.

Fees

  1. The attached rental fee schedule is for use of the parish hall for individual parishioners, non profits and for profits organizations not under the 501(c)(b) status of the Corporation of  St. Anthony’s Church.
  2. The use of the parish facility by any group, organization or individual must respect the teaching of the Church with regard to moral principles and the Church proper as a sacred space.   Any group who officially or not officially contradicts or disrespects these principles is not permitted to use or rent the facility.
  3. St. Anthony’s Parish may permit use of the facility, without cost, to support other non-profits, community outreach and related groups for the good of the broader community,  in particular, the municipal summer neighborhood play and the Samoan Community youth.    Specifically, with regard to the Samoan community youth, the parish will offer use of the facility once a week at no cost.   Additional time may be contracted at a fee based on the attached schedule and within the scheduling guidelines listed above.
